Job Description & Qualifications

Job Summary

Responsible for managing day-to-day operations, prioritizing and scheduling facility maintenance projects, technician work orders and preventative maintenance services for the business. Maintain tracking for service contracts, general repairs, maintenance, construction projects and budget management.

Major Tasks, Responsibilities, and Key Accountabilities

Manages facilities support requests via help line and email. Selects vendor, coordinates and schedules work, follows up on project completion, evaluates and reviews service reports and reconciles invoices. Tracks purchase requests.

Develops, revises and maintains the building systems reference documents including EMS, lighting, sprinkler and HVAC systems. Administers Certificates of Insurance for all R&M vendors including obtaining, distributing and retaining updated copies for all current vendors and service providers and contractors. Administers new vendor set ups, ensures qualify and compliance with policies.

Develops and maintains the department’s maintenance contracts and service agreements. Researches and selects best value vendors, negotiates overall program and pricing for best value. Evaluates current vendor performance and processes vendor terminations for non-performance.

Develops scope and statements of work for facilities projects. Solicits budgetary quotes for projects and services, analyzes and proposes best overall value. Proposes the development of R&M operating budgets Researches and proposes design solutions, product selections for furniture, equipment and systems that provide best overall value at the lowest operating costs. Tracks on-going projects.

Assists with facilities special projects, including construction, reconfigurations, special events, obtaining pricing, and monitoring progress.

Conducts site assessments and service reviews. Develops and executes corrective action plans to ensure safe and compliant facility operations.

Proposes process and program improvements that will deliver efficiency and value to the business.

Performs other duties as assigned.

Nature and Scope

Works in compliance with established procedures and/or protocols. Identifies and resolves readily identifiable, clearly defined problems. Demonstrates skill in data analysis and techniques by resolving missing/incomplete information and inconsistencies/anomalies in routine research/data.

Nature of work requires general supervision; exercises judgment. May be paired with a mentor. Work typically involves regular process checks or review of output by a coworker and/or supervisor.

May provide general guidance/direction to or train junior level support personnel.

Work Environment

Located in a comfortable indoor area. Any unpleasant conditions would be infrequent and not objectionable.

Most of the time is spent sitting in a comfortable position and there is frequent opportunity to move about. On rare occasions there may be a need to move or lift light articles.

Typically requires overnight travel less than 10% of the time.

Education and Experience

Typically requires BS/BA in a related discipline. Certification may be required in some areas. Generally 0-2 years of experience in a related field OR MS/MA and generally 0-1 year of experience in a related field.

Preferred Qualifications & Job Specific Details

Preferred Qualifications:

  • 2-3 years of building/facilities engineering or related field. Will provide on the job training.

  • Working knowledge of HVAC, electrical, plumbing, life safety, carpentry, and paint.

  • Ability to work with 3 rd party contractors for preventative maintenance or repairs as needed as well as purchasing building supplies and equipment when necessary.

  • Will coordinate with other facility personnel for facility set up as needed.

  • Will be part of response team for facility related emergencies.

  • Ability to provide preventative maintenance for HVAC and conduct physical inspections of indoor and outdoor areas.

  • Degree not required, any certifications in HVAC, electrical, plumbing, or related field helpful.

  • Familiarity with blue prints or schematics, AutoCAD a bonus.
